New Staff Onboarding Process
How to Onboard a new staff member

| PURPOSE This procedure explains how to initiate and coordinate the operational onboarding of a new Australian BioCommons staff member. The process helps ensure that Operations receives the information required to coordinate organisational access and onboarding activities before the staff member commences. |
Before you start
Prepare:
- New staff member's name.
- Position or role.
- Start date.
- Supervisor details.
- BioCommons Hub membership status, as confirmed by the Director.
- Systems and resources required.
- Shared Drive or Google Group requirements where known.
- Any additional onboarding requirements.
Step-by-Step Instructions
1. Submit the Onboarding Request
Open the Freshdesk Service Portal and select the appropriate New Staff Onboarding request.
Enter the required information about the new staff member.

2. Operations review the Request
Operations reviews the information supplied and identifies the required onboarding activities.
If information is missing, the requester may be contacted through Freshdesk.
3. Coordinate the required access
The relevant access and administrative requirements are coordinated based on the information provided.
This may include organisational systems, shared resources and other operational access.
4. Monitor the request
The requester can monitor progress through My Tickets in Freshdesk and will receive updates when action is required or onboarding activities progress.
5. Complete the Onboarding Request
Once the relevant operational onboarding activities have been completed, the ticket can be resolved.
| Expected Outcome The required operational onboarding activities have been identified and coordinated, and the new staff member has the organisational access and information required for commencement. |
